Executive Assistant

Job Summary:
The Executive Assistant will provide high-level executive and project management
support to the CEO and Executive Director, as well as supporting members of the Senior
Leadership Team. This role requires someone highly organised, proactive and capable of managing
multiple priorities in a fast-paced environment. The successful candidate will support
with diary management, meetings, travel, communications, administration, project
coordination and confidential business matters whilst acting as a key point of contact
for internal and external stakeholders.

 

Key Responsibilities:
Calendar / Document Management
• Assist with coordination of day-to-day activities, meetings, projects, events, seminars
and webinars
• Review, prioritise and manage email correspondence on behalf of senior leadership
• Prepare briefing materials and supporting documents ahead of meetings
• Attend meetings, take minutes, track actions and follow up on key deliverables
• Maintain accurate and confidential records and documentation

 

Contracts and Governance:
• Review legal agreements such as NDAs and collaboration agreements in line with
company policies
• Maintain accurate records and databases relating to agreements and governance
documentation

 

Financial:
• Monitor expenditure and support budget tracking alongside senior leadership and
finance teams

 

IT:
• Ensure documents and information are accurately stored within SharePoint and
company systems
• Provide day-to-day support with general IT and administration requirements
Travel
• Arrange and manage UK and international travel, accommodation and visas/permits
where required
Wider Responsibilities
• Support the Senior Leadership Team with projects, programmes, events and
administration
• Assist with recruitment processes and onboarding of new employees

 

About You:
The ideal candidate will have:
• Previous experience working as a Personal Assistant or Executive Assistant at senior
level
• Excellent organisational and time management skills
• Strong communication and stakeholder management ability
• High levels of discretion and professionalism
• Strong Microsoft Office skills including Outlook, Teams, Word, Excel and PowerPoint
• A proactive and flexible approach to work
• The ability to manage multiple priorities in a fast-moving environment

Monday to Thursday – 9.00am to 5.00pm
